RE: | School Aid Concert Series Fundraiser |
| |
DT: | 3/4/01 |
Per our initial conversation in February, I would like to propose the following School Aid Fundraiser Program for all Middle Schools in the Clark County School District.
As we expand our East Coast operations to the western states, we have opened our regional headquarters in Las Vegas. Our team has children in all school levels in the Clark County School District. Therefore, education in Southern Nevada is of primary importance to Giordano World Entertainment (GWE). With this in mind, GWE would like to propose a way for additional funds to
be donated by our organization back to the CCSD.
GWE will hold concerts throughout the year, to be marketed as the School Aid Concert Series. These concerts will take place primarily at Mandalay Bay. Artists and bands that appeal to and are suitable for students in grades 4 - 12 will be featured on a regular basis and students who purchase tickets will have a portion of the ticket price donated by GWE back to their school. Acts chosen for this concert series will be student-friendly and in no way present inappropriate music or actions. Due to the large inventory of seats that will be available at Mandalay Bay, our donation can be quite significant. NOTE: It is also possible to offer ticket sales benefiting the schools through our other concerts and events in Las Vegas.
We also intend to partner with Mandalay, possibly Tickets.com, and another student-oriented sponsor to make this venture a perpetual success, year after year. Your input on this aspect of the program would be appreciated.
There are various options as to how the School Aid Concert Series can be implemented, but your feedback is critical in finding the most effective way to launch this program.
OPTION 1
Fundraiser: Middle Schools
GWE proposes the following:
- Students at all 37 Middle Schools will be given the opportunity to sell concert tickets as a fundraiser. For our first concert in the series, which is slated for June 30, ticket sales will run March 30 through April 13th, 2001. This School Aid fundraiser period will be the only way to purchase tickets
to the concert, then on April 16th we will open sales up to the general public.
- A portion of the ticket price will be given back to each school. A separate accounting, by individual school, will be provided to you at the end of the fundraiser.
- Students will have great incentives to sell the tickets, with such rewards as CDs, VIP seats, Backstage Passes, and for the Top Five, the opportunity to join artists on stage.
- GWE will provide marketing collateral to each student, including flyers, and ticket orders.
- GWE will coordinate with designated school contacts and be available
by phone to this designee at all times during fundraiser.
- GWE will collect and process all ticket orders and monies twice a week. We will provide each school with collection envelopes by homeroom, or designated class for easy tracking.
- GWE will provide tickets to students the week after order has been processed. Our staff members will coordinate with each school to
determine best approach for distribution. Final ticket orders will be distributed no later than April 20, 2001.
OPTION 2
Fundraiser: Middle and High Schools
GWE proposes the following:
-
Students at all 37 Middle Schools and 29 High Schools will be given the opportunity to sell concert tickets as a fundraiser.
The same procedure listed above will be implemented at both school levels.
OPTION 3
Fundraiser: Middle and High Schools
GWE proposes the following:
- A schedule of school on-site sales dates between March 30 and April 14 will be determined. GWE staff will be at the schools to sell tickets to the concerts during selected times.
- Students will have attended an assembly and received ticket orders sheets before the on-site sale date.
OPTION 4
Fundraiser: Middle and High School PTAs
GWE proposes the following:
- PTAs of the individual schools can purchase a certain number of tickets upfront from GWE and then sell them as they choose. If all tickets purchased are not sold by a given date, GWE will buy them back from the PTA.
- For every ticket purchased by the PTA, GWE will donate a specified dollar amount to that school.
What GWE requests of the Clark County School District?
- Introduction of fundraiser via means of an assembly. GWE would like to show a short personalized video of the upcoming artists inviting the students of the CCSD to come to their show. This type of personal connection with the acts will surely evoke excitement and anticipation of the upcoming events. NOTE: Should the CCSD want the artists to include any type of “cause” message, we will definitely consider it. Our staff will also explain the fundraiser in detail, including the many rewards that the students can earn. Estimated length of assembly 30 minutes.
- Posters promoting upcoming concerts to be displayed prominently at all middle schools. Poster will feature School Aid Fundraiser and to contact a middle school student for tickets or our office phone number. Should ticket orders come into our office, we will credit the customer’s local middle school with the sale. (Ten posters per middle school. Appropriate posters displayed prominently at High School and Elementary Schools.)
- Fundraiser to be featured in the CCSD Newsletter and each individual school’s newsletters for March (if possible) and April issues.
- Mention of fundraiser at appropriate PTA meetings.
- One announcement weekly to keep fundraiser fresh in student’s minds.
GWE will promote the fundraiser through public relations efforts and seek to obtain as much press as possible.
GWE will present and implement a fundraiser that will require only one contact per middle school. Minimal time and effort will be required of this individual, as our staff will handle all administrative requirements.
We are in the process of finalizing dates and venues for our first School Aid Concert, at which time, ticket prices will be set. The Clark County School District does have the opportunity to raise significant funds through this program. In addition, we intend to continue the School Aid Concert Series on a regular basis and you can hopefully incorporate it into your yearly fundraising calendar.
Since Giordano World Entertainment is eager to discuss such an exciting
fundraising venture, I will call you on Tuesday, March 6th to arrange for a
suitable time to meet.
Thank you for your time and I look forward to working with you and the students of the Clark County School District. |
